PURPOSE
This job assists the PGE (Police and Gendarmerie) program manager in carrying out the program for Police and SFs under the ICRC mandate. The job role is both technical and sensitive when working with law enforcement agencies, necessitating a professional demeanor in all aspects. The Program Assistant follows the program manager's recommendations and directions to attain the targets.

RELATIONSHIPS
As directed by the Program Manager, the Program Assistant:
Internally, engages with all relevant departments within the delegation.
Externally, engages with assistants' offices and interlocutors.

GENERAL DUTIES:
Understands and follows the seven Fundamental Principles of the International Red Cross and Red Crescent Movement.
Understands and follows the ICRC Code of Conduct.
Understand the duties of the components of the International Red Cross and Red Crescent Movement.
Respects and follows staff regulations and security guidelines at all times.
Professionally represents the ICRC at all times.
Creates and maintains a pleasant and productive working environment for colleagues and line managers.
All duties are performed with the utmost level of confidentiality in the benefit of the personnel and the ICRC.
May be asked to execute work not specified in this job description and to give support to other departments as needed.

Accountability and Responsibilities
Creates, maintains, develops, and updates a database providing contact information for various levels of police authority and other important external interlocutors.
Represents the ICRC at his or her level of expertise (dissemination and training of arm carriers).
Assists the Police and Gendarmerie program manager in planning meetings, gatherings, and conferences, following appropriate administrative and logistical processes.
Contributes to written reporting, interpretation, and translation as directed by the line manager.
manages and maintains the internet database for quarterly reports.
Follows up and keeps track of budget expenses.
Upon request, takes notes during meetings and conferences and writes reports.
Contributes to giving FAS-Police and Gendarmerie program-related guidance as needed.
Represents the PGE in meetings as directed by the line manager.
Maintains and follows up on all LoG issues concerning the program.
Maintain the confidentiality of your interactions with interlocutors.
Assist line managers with training and dissemination workshops for police and security forces.
70% of program implementation involves travel to all locations.
Manage all activity-related duties inside the organization and with its stakeholders.
Submit all travel and activity documents/requests to the appropriate department.
Performs other program-related responsibilities as directed by the line manager.
Act on the advise of the line manager to carry out the tasks.

ADDITIONAL DUTIES
Is aware of the delegation's aims and has a good grasp of the Movement and other contacts related to the role.
Collects and shares information to improve the ICRC's understanding of environmental trends and humanitarian actions.
appropriately portrays the ICRC during activities, at meetings, and in the field, and avoids any activity that could reflect badly on the ICRC's image.
Accepts responsibility for their own professional learning and development.
Supports the FAS Line Manager in developing the FAS Strategy and incorporating it into the annual planning exercise (Planning for Results), in accordance with the delegation's primary operational priorities and strategy.
Prepares, conducts, evaluates, and follows up on dissemination efforts with interlocutors, such as police forces, on international humanitarian law (IHL), international human rights law (IHRL), and ICRC activities, which include coordinating and drafting dissemination materials and reporting.
maintains and updates the collection of various ICRC publications required for FAS activities.
In the absence of the Program Manager, this person acts as his or her representative.
Contributes to the expansion and consolidation of the ICRC's network of contacts within the police and security forces.
Supports the delegation in FAS-related problems according on his or her level of knowledge.

REQUIREMENTS
Minimum of 5 years of experience as an office assistant.
Computer (MS Office) and internet skills
Knowledge of office inventory management and record keeping


Sufficient experience in public dealing.
Bachelor's or master's degree in social sciences, international relations, or a related discipline.
